ILT Guide

A quick, practical guide to what’s unique about ILT—and the key ILT workflows you could use.

Quick map

  • Admin menu (gear) → Course Management → open an ILT course
  • Sessions tab → create/manage Sessions (containers) and their Events (date/time blocks)
  • Enrollments tab → assign learners to the course and to a specific session and monitor enrollment status



ILT concepts (what’s unique)

  • Session = the class instance learners attend (e.g., “Sept 12 – Food Safety”).
  • Event(s) = the time blocks inside a session (e.g., Day 1: 9–12, Day 2: 9–11, etc.).
  • Capacity & Waitlist = seats per session; extra learners queue automatically.
  • Session assignment = a learner must be placed into a specific sessions (course-level enrolment alone isn’t enough for attendance).

Core ILT workflows (unique items you’ll actually use)

1. Move a learner between sessions (same course)

When a learner needs to switch dates/venues:
  • Open the ILT course → Enrollments tab → find the learner
  • Select the learner → Choose Action (bottom right) → Enroll into Sessions
  • Pick the new session → Confirm
  • Check the new session shows the learner; waitlist rules apply if the session is full

Notes:

  • If the destination session is at capacity, the learner goes to Waitlist (if enabled).
  • Moving retains course-level enrolment; you’re only enrolling into the session.


2. Assign a learner to a specific session (after course enrolment)
  • Enrollments tab → select learner(s) not yet in a session.
  • Choose Action (bottom right) → Enroll into session → pick the session → Confirm.
  • Verify the learner appears under that session (not just at course level).


3. Manage Capacity & Waitlist
  • Sessions tab → open a session.
  • Set Maximum enrollments.
  • Extra enrolments queue; you can later promote from waitlist as seats free up.


4. Add/adjust Events (date/time blocks)
  • Sessions tab → open a Session → Add Event.
  • Set Start/End time, Time zone, and Venue/Video Conference Tool(e.g., Zoom / Microsoft Teams).
  • If multi-day, add multiple events (set attendance rule per org standard, e.g., must attend all events).


5. Set session completion rules
  • Sessions → click the Session name
  • Properties General
  • Session completion → choose one:
    • Manual
    • Evaluation based
    • Attendance based → All events or Custom number of events
    • Training material based


6. Duplicate a Session (fast re-use)
  • Sessions list →Duplicate.
  • Update dates, capacity, instructor, and links as per requirement→ Save changes.
  • Assign learners to the new session as needed.


7. Mark attendance (Add video and make a separate article as well)
  • Sessions → click the Session name you need
  • Events & Attendance tab → find the right Event → click the Attendance link (under the Attendance column)
  • Tick learners → Choose actions (green button bottom right) → Mark attendance
